Glamping Holiday Booking Terms & Conditions

Please take a moment to acquaint yourself with our terms and conditions before booking your glamping holiday.

When requesting a woodland escape glamping holiday reservation or joining us at woodland escape for a glamping holiday, we remind guests that all bookings are subject to agreeing to the terms and conditions of booking.

For  our guests convenience the full terms and conditions of booking are provided:
Deposits:
Guests and those requesting reservations agree for a deposit to be taken to confirm your booking. Please remember that in the event of a guest wishing to cancel a booking or any accommodation involved in a group book; deposits ares non-refundable.

Cancellations:
In order to cancel a booking guest must send written notification to CGH & receive acknowledgement of receipt. Cancellations received 20 working days or less before the glamping holidays arrival date are liable for the full accommodation fee if the accommodation cannot be re-let. Once a glamping holiday booking has been confirmed, alterations to the dates dates of a booking constitute a cancellation. If possible, and at CGH’s discretion, changes to a bookings dates  are subject to an administration fee of thirty-five pounds.
Activities are booked with third parties and must be paid in full before arrival, unless otherwise stated. Activity fees are non-refundable. CGH are not responsible for cancellation of any activities or costs incurred. Failure to take part in an activity is not ground for a refund.  Refunds can  not be given for items, activities or any part of a guests holiday if guest fails to take part / utilise additional items, services or activities that are booked. 

Holiday Insurance
CGH strongly advise our guests to ensure they have appropriate insurance cover in the event a guest is forced to cancel due to an act of god such as a sick relative or bad weather and you are unable to reach us (snow).

Check-in & Check-out
Check-in is from 2pm – 6pm on the day of arrival. Check-in afrer 6pm requires a late check in to be booked in advance, fees apply. Check-out is by 10am on the day of departure. Depature after this time constitutes late check-out, relevant fees apply.

Balance
Balances must be settled one week prior to arrival. Items bought on account during your stay will be charged with one week of your departure to your card. Failure to settle your account within a week of departure incurs a failure to pay surcharge of 10% of the total fee due.

All images on our website of accommodation and surroundings are as illustrations only. Exact accommodation, interior decor and location of accommodation may differ to images on the website.

Force Majeure
Guests are responsible to ensuring they understand and are prepared for an off grid glamping holiday in the rual countryside. It is recommend guests check weather forecasts and pack accordingly for a rural break in a woodland without mains electricity or internet connection.  Guests understand that there are multiple glamping accommodations on the glamping site. Please be aware that the woodland is a rural setting and the natural habitat of wild animals. Guests should not leave food stuffs out either on benches, in plastic bags or open inside glamping accommodation that could encourage wild animals into the site. Whilst every effort is made to ensure a comfortable stay guests must understand that canvas structures may be effected in adverse weather and temparature fluctuations.  For health & safety reasons the use of private electrical equipment is not permitted.
CGH are not liable for any event beyond CGH’s reasonable control, this is including, but not limited to:
Any failure or defective working of all equipment
The effect of adverse weather on your glamping accommodation.
CGH reserve the right to cancel a booking due to adverse weather, equipment failure & damage or for other reasons. In the eventuality of CGH having to cancel a booking the guest will receive a refund in full but no further compensation shall be paid.  CGH’s total liability to a guest arising out of or in connection with this agreement shall not exceed the monies a guest has paid to CGH under it at the date any claim arises. CGH’s accommodation & services are provided with reasonable care and skill. These services are provided "as is" only and that all implied warranties, conditions and other terms concerning CGH’s performance of the services are excluded to the extent permitted by local factors. In accordance with section two of the Hotel Proprititors Act 1953, schedule notice: Loss of or damage of guests' property a hotel proprietor may in certain circumstances be liable to make good any loss of or damage to a guest’s property even though it was not due to any fault of the proprietor or staff of the hotel. This liability however—
(a) extends only to the property of guests who have engaged sleeping accommodation at the hotel;
(b) is limited to fifty pounds for any one article and a total of one hundred pounds in the case of any one guest, except in the case of property which has been deposited, or offered for deposit, for safe custody;
(c) does not cover motor-cars or other vehicles of any kind or any property left in them, or horses or other live animals.
This notice does not constitute an admission either that the Act applies to this hotel or that liability there under attaches to the proprietor of this hotel in any particular case.
Trees are natural living entities, guests are reminded to take reasonable care and attention to trees and the effect of weather conditions on trees during their stay and plan accordingly. Guest are reminded not to run on the glamping site due to the natural undulation of the ground, protruding branches and possible trip hazards.

Car Parking
Woodland Escape is located in a wood. As such the parking area is surrounded by trees and spaces are located under trees. All vehicles and their contents are parked at the owners risk. Guests are advised that CGH is not liable to any damage arising to vehicles in the parking area. It is suggested that guests may wish to bring covers for their vehicles during the sap season. In order to help reduce traffic volumes and minimise our carbon footprint and we recommend that no more than 1 car per accommodation are brought to Woodland Escape.
There is restricted access and parking for larger vehicles. Please contact us for further information. Caravans, campervans and/or mobile homes are not permitted at Woodland Escape.
 
Smoking
Woodland Escape is a no smoking area. It is illegal to smoke around or in any accommodation, facilities or ablution units. 

Natural inhabitants
Please note & remember that Woodland Escape is in a woodland setting that is the natural habitat of a range of native creatures such as snakes, insects, spiders, rodents & ticks.  Guests are reminded to take reasonable care such as walking along pathways provided and not through long grass. You should note any information and guidance provided in any of our information booklets or notices.

Dogs/Pets
You must ensure that:
• As a minimum, each dog has a current annual vaccination for distemper, canine hepatitis, leptospirosis and parvo virus;
• Each dog is properly supervised, is not dangerous and does not cause a nuisance or threat to anyone;
• When our staff need to visit your accommodation (e.g. if you have booked maid service or requested a maintenance engineer) you must take your dog(s) out or keep them in a different room while these visits take place and comply with any specific instructions provided to you. Dogs must be kept on a lead at all times when outside your accommodation, and you must ensure they use the designated dog toilets.
If we, in our sole and reasonable discretion, consider your dog to be dangerous or to be causing a nuisance, harm or threat to anyone, or to be likely to do so, we may ask you to remove it from the Woodland Escape (without refund or compensation) or have it removed to kennels at your expense. No other pets are permitted.

Dangerous items
No firearm, shotgun, knife, air weapon, archery equipment, fireworks (including sparklers), illegal substances or similar item may be brought to Woodland Escapee under any circumstances by you or anyone in your party.

Noise
We are located close to HMS Herron. As an area of low population density military aircraft fly over Woodland Escape. You may experience noise from such activities from time-to-time. This is beyond our control. Similarly we are located next to fields of cattle noise related to calving season or harvest may be heard in season. This is beyond our control.

Contacting Staff
Guests are responsible to raise any issues with a representative of CGH immediately, and during a stay, so that our staff have the opportunity to resolve any issues. If staff are not informed of any issues till the end of a stay or after a guest has departed; as guests will have used the service provided in good faith, not not given CGH's staff the opportunity to rectify the issues, the guest will have wavered the right to any refund.

Security of your property
We draw your special attention to the following:
• Your personal belongings are your responsibility during your break with us.
• Vehicles parked on our property are subject to very limited security cover only. You must lock your vehicle securely and remove all valuable items on parking.

Site Rules
Guests are reminded to respect other guests and the sites neighboughs. Anti-social behaviour, obscenities, illegal acts or noise at unsocial hours are in breach of the site rules. Failure to comply could result in the booking being charged the full balance due & asked to leave the site.

Pictures
Whilst our staff will always ask permission. By staying at woodland escape guests consent for photos containing members of their party to be used for marketing purposes & recognized in social media

Signatories & Groups
The signatory of a booking / named person for online reservation requests. Is responsible for ensuring all members of a booking are aware of the sites terms and conditions and abide by the site rules. Only a signatory can request alterations to a booking unless otherwise stated by CGH or the requested by the signatory. The signatory is responsible for additional items booked to the reservations account. 
A group constitutes a booking of two or more accommodation units which are acquainted, either booked separately or on one booking form. The signatory on a group booking is responsible for the behaviour of all members of their party.

Children
Parents and carers are reminded that they are responsible for ensuring children in their care are monitored and do not run on the site. 

Trees
Guests are reminded that the trees at woodland escape are protected. For your own safety it is not permitted to climb trees. Damage to trees are subject to a £100 fine.
